SOPs, specifications and quality records
The sentence we hear
“Which version of this SOP is current, and what does the specification say for this test?”
- The problem
Hundreds of SOPs and specifications live in a document management system that answers by document number, not by question. A QA analyst who knows the number finds it in a minute; everyone else asks QA. During an inspection the minute matters.
- What changes
- Quality, production and laboratory staff ask by topic, in Bangla or English, and get the current SOP or specification with the version and page.
- Only versions released by document control enter the index; obsolete versions are withdrawn with them.
- Acceptance criteria, test methods and sampling rules are quoted with their source, never paraphrased from memory.
- Questions without an answer in the documents are logged, a direct line to gaps in the SOP set.
- What stays with a person
- Document control owns what enters the index; the QA manager approves any use of an answer in a release decision.
- The result
- Inspection questions answered from the current approved document in seconds, and fewer deviations caused by the wrong version.
